What You Can Store in Vault

Vault supports almost any file or content type:

  • SOPs (Markdown, PDF, Word, Rich Text)

  • Checklists

  • Policy updates & compliance docs

  • Equipment manuals

  • Emergency protocols

  • Educational videos

  • Clinic onboarding material

  • Safety guidelines (DEA, OSHA, etc.)

  • Custom training modules

  • Required-reading announcements

Everything is searchable and tagged for fast retrieval.


Core Functions

1. Centralized Knowledge Storage

Upload clinic knowledge, tag it, assign visibility by role or individual, and keep your team aligned.

2. Quizzes for Training & Validation

Build quizzes tied to any SOP or module.
Team members must complete them before gaining access to certain workflows if you enable gating.

Examples:

  • “Controlled Substance Handling” before inventory access

  • “Surgery Prep Basics” for new techs

  • “CSR Communication Standards” during onboarding

3. Required Acknowledgments

For critical updates, Vault can force an acknowledgment before users can continue working.

Examples:

  • New euthanasia protocol

  • Updated exam flow

  • Seasonal disease guidelines

Acknowledgments are stored in the audit log.

4. Role-Based or Individual Assignment

Assign any document, module, or quiz to:

  • All CSRs

  • All VAs

  • Relief vets / temp staff

Assignments persist across devices and locations.

5. Usage Tracking & Reporting

Vault automatically tracks:

  • Who viewed what

  • Completion rates

  • Quiz scores

  • Most-referenced SOPs

  • Edit history

  • Missed/late training

Managers and Admins see everything; MCP enforces permission boundaries.


How to Use Vault

  1. Open Vault from the left sidebar.

  2. Search by tag or keyword (e.g., “Surgery,” “Client Scripts,” “Inventory”).

  3. Open a file or training module.

  4. Assign it to roles or individuals if needed.

  5. Add quizzes, acknowledgments, due dates, or gating rules.

  6. Save & publish.

Your team is automatically notified.


Smart Features (Optional)

These assistive options can be enabled per clinic:

  • Contextual surfacing: Vault can suggest relevant SOPs during triage, treatment, or discharge.

  • Persona-aware delivery: Content can be formatted differently for CSR vs. tech vs. DVM audiences.

  • Rapid Update Alerts: When a protocol changes, Vault notifies only the roles affected.

  • Progress Reminders: Automated pings to team members who haven’t completed required training.

Nothing is auto-enforced unless you turn it on.
