RoomKey is a wall-mounted room system that replaces outdated flag systems and brings real-time room intelligence into ClinicOS.
RoomKey provides:

  • Room status display – occupied, ready, cleaning, or custom workflow states

  • Alerts & wait times – critical updates, timers, and patient wait tracking

  • Pet & client info – quick-view details at the room door

  • Check-in / check-out – staff tap in to log presence or mark transitions

  • Environmental data collection – feeds temperature, humidity, and air quality into ClinicOS environmental dashboards

How to Set Up RoomKey

  1. Mount the RoomKey device at the exam room door.

  2. Power it on and connect it to your secure WiFi network.

  3. In ClinicOS, go to RoomOps Config Panel → Add Device.

  4. Scan the RoomKey’s QR code to link it.

  5. Assign the RoomKey to a specific room.

  6. (Optional) Pair staff NFC badges for tap-in workflows.

How RoomKey Is Used in Daily Workflow

  • Flags replaced: No more manual sliding tabs — room status is digital and auto-updating.

  • Staff presence: Providers can tap in/out to log activity, triggering workflows like “Doctor entered room.”

  • Patient monitoring: RoomKey alerts if a patient has been waiting too long without a status change.

  • Environmental overlay: Room environmental data syncs into RoomOps and Admin dashboards.

  • Client experience: Displays pet name, visit type, or welcome messages (configurable by admin).
