Getting ready for launch? Here’s the full checklist to ensure your clinic is live and ready to run with us.


1. Clinic Configuration

βœ” Roles & Permissions

  • Confirm each role has correct access

  • Assign DVM, Tech/VA, CSR, Manager, Admin

  • Adjust module-level permissions as needed

βœ” Team Setup

  • Add all staff accounts

  • Confirm logins on clinic devices

  • Ensure cloud-linked access for DVMs & managers

βœ” Clinic Knowledge (Vault)

  • Upload SOPs, protocols, and training docs

  • Assign required acknowledgments (if needed)

  • Add any onboarding materials for staff


2. Device & Workflow Setup

βœ” Atlas & Flowboard

  • Test room/case routing

  • Confirm timers and statuses update correctly

  • Verify all tablets / wall displays sync in real time

βœ” Messaging & Alerts

  • Connect communication channels

  • Set triage and operational alert preferences

  • (Optional) Connect SMS

βœ” SupplyRoom

  • Log initial inventory

  • Confirm usage syncs with treatments

  • Validate controlled-access rules (if enabled)


3. AI Workflow Testing

  • Run a few mock triage cases

  • Validate urgency colors and routing

  • Confirm alerts reach the right channels

  • Complete a SOAP note from start β†’ pause β†’ resume β†’ complete

  • Ensure it pulls context correctly from triage & Atlas

  • Generate a test discharge summary

  • Confirm email/print/text channels

  • Run a sample plan

  • Confirm safety prompts (RXGuard)

  • Validate diagnostics & treatment logic flow forward

βœ” PulseCheck (if included in Beta)

  • Confirm the dashboard loads and reflects clinic activity

  • Review mock load shifts or case movement


4. Client Communication Setup

  • Review email, SMS, and pre-visit templates

  • Confirm branding and wording

βœ” Intake & Appointment Flow

  • Enable opt-in forms

  • Test SMS delivery

  • Validate scheduling and pre-visit workflows


5. Support Resources for Your Team

  • Make sure every station can open the Intercom Help Center

βœ” Reporting Issues

  • Confirm your team knows where to submit feedback or questions
