Messaging, Notifications & Sync
How does PawthosX One™ use messaging, notifications & sync?

1. Messaging (Independent Use)
By default, PawthosX One does not include in-app chat or messaging with clinics.
Communication about shifts, cases, or updates should be handled directly with the clinic (phone, email, or their PIMS).
The app is designed to keep your scheduling, invoicing, and payments streamlined — not to replace clinical communication channels.
2. Notifications in PawthosX One
You will receive reminders and status updates in the app:
Shift reminders – alerts before a logged shift begins.
End-of-shift nudges – location-based reminders if you’re still on-site when a shift is scheduled to end.
Invoice updates – confirmations when invoices are generated, sent, or marked paid.
Payment status – notifications when Stripe/ACH payouts complete.
3. Working in a ClinicOS Hospital (Hybrid Mode)
If you are a 1099/relief vet working inside a ClinicOS-enabled hospital, your account may have expanded features, depending on what the hospital has allowed:
TriageAI Client Information – access to client/patient intake data during shifts.
DischargeAI Auto-Sync – discharge instructions sync to your account and the hospital record automatically.
Chronicle Transcriptions – clinical notes recorded via transcription AI.
Clinic-Wide Notifications – important hospital alerts (shift changes, emergencies, hospital announcements).
Upcoming Visits View – see your assigned cases or patients for the day.
⚠️ These features are controlled by the hospital’s ClinicOS administrator. Not every clinic enables them, and your access may vary.
4. Customizing Notifications
Go to Settings → Notifications.
Toggle which reminders you want active.
Adjust timing (e.g., shift reminder 1 hour before vs. 24 hours before).
Exports & Legacy Systems
5. Auto-Sync with ClinicOS™
If you are working in a ClinicOS-enabled hospital, all Artificial Presence modules can auto-sync directly into the hospital’s records.
TriageAI – intake forms and client data sync into the hospital chart.
DischargeAI – instructions automatically push to the client record.
Chronicle – transcribed notes are stored in the patient’s history.
ClinicOps Center – summaries and notifications flow into the hospital-wide dashboard.
⚠️ Auto-sync permissions are controlled by the clinic’s administrator. If your shifts are at a hospital without ClinicOS, data will not sync automatically.
5a. Export Options for Legacy Systems
For hospitals still running legacy PIMS (Cornerstone, Avimark, Impromed, etc.), PawthosX One allows you to export your data:
Email Export – send a copy of the module output directly to a clinic email address.
PDF Download – generate a PDF that can be uploaded or scanned into the legacy system.
5b. What Can Be Exported
TriageAI intake summaries
DischargeAI client instructions
Chronicle transcription records
Time & shift records
Invoices
5c. Best Practices for Legacy Export
Always confirm with the clinic how they prefer records delivered (email, upload, or manual entry).
Use PDF exports for official documentation — they are timestamped and formatted for easy upload into most systems.
Email exports are best for quick sharing or when a clinic has a standard “inbox” for records.
5d. Why It Matters
Artificial Presence was designed to protect teams from double entry. Whether a clinic runs ClinicOS or a legacy system, you’ll always have a way to get your data where it belongs — with the least friction possible.
